1. Why keep a backup number

If your main number becomes unavailable (phone lost or stolen, SIM blocked by your mobile operator, line cancelled), anyone trying to reach your business on WhatsApp gets no reply until the number is back. A ready backup number keeps customer service from stopping in the meantime.

Buying a SIM on the day of the problem and using it right away is the riskiest option: the number starts handling customers with no warm-up at all.

2. How to set up your backup

  • At least one backup per main number: that's our suggestion for most operations.
  • An already warmed-up number: with the full 7-day cycle completed.
  • Profile ready: photo, business name and About filled in.
  • In light use: used every now and then in real conversations from your operation, like after-sales or order confirmation, so it isn't sitting idle until the day you switch.
  • A new number warming up: when you use a backup, put another number into warm-up to take its place. Since the cycle takes at least 7 days, it's worth doing this the same day.

3. How to switch numbers when the main one becomes unavailable

  1. Replace the number with the backup in your WhatsApp link, ads, website and CRM.
  2. Let active customers know the new number through the channels you still have (email, Instagram, SMS).
  3. Put a new number into warm-up to replace the backup you used.

4. If the account was banned, the backup isn't the way out

WhatsApp's Terms of Service say that if your account is disabled for violating the Terms or policies, you shouldn't create another account without WhatsApp's permission. In that case, request a review in the app, if it shows the option, and fix the cause. The WhatsApp Help Center lists spam, scams or risks to other users' safety among the reasons for a ban: if the problem was messages to people who didn't ask for them, a new number would run into the same problem.

For high-volume promotional messages, the way to go is the official WhatsApp Business API, with contacts who agreed to receive them.

Frequently asked questions

How many backup numbers should you keep?

It depends on how many numbers you use for customer service. Our suggestion: at least one backup for each main number. Since warming up takes at least 7 days, put a new number into warm-up whenever you use a backup.

Can I use the backup if my main number is banned?

That's not the way to go. WhatsApp's Terms say that if your account is disabled for violating the Terms, you shouldn't create another account without WhatsApp's permission. Request a review in the app, if it shows the option, and fix the cause: if it was reports from people who got messages they didn't ask for, a new number would run into the same problem.
